Who we are
Razor Pest Control, ABN 43 104 725 215, is a locally owned pest control business at 47 Drummond St, Rangeville QLD 4350, serving Toowoomba and the Darling Downs. Phone 0468 200 808, email admin@razorpestcontrol.com.au.
In this policy “we” and “us” means Razor Pest Control. We use the Australian Privacy Principles in the Privacy Act 1988 as our guide to handling personal information.
What we collect
When you ask for a quote
The quote form on this website asks for your name, address and mobile, and an optional note. It goes to our office system and, as a backup, to our email inbox through a form service called Web3Forms. With it we get the type of device you used (mobile, tablet or desktop), the page you sent it from, and where your visit came from, such as Google, an ad or a typed address. If you call, text, email or message us instead, we keep the details you give us.
When you are a customer
To quote, book, do and bill the work, we keep your name, phone numbers, email and billing address; the address of each property we look after, with access notes such as gate codes or pets; your bookings, quotes, invoices and payments; the photos and notes our technicians take on the job; and the treatment records Queensland law requires us to keep, such as the products used and where. If a property manager, landlord or body corporate books the job, we may also hold the tenant’s name and phone number so we can arrange access. We do not store your card or bank account details.
Texts, emails and calls
We keep the texts and emails we exchange with you, and a log of our phone calls (the number, the time, how long it went and any note we made), so anyone in our office can pick up where the last person left off.
Our customer portal
If you use our online customer portal, you sign in with a one-time code we send to your mobile or email, and we record when you last signed in.
Visits to this website
Our pages keep a simple count of visits: one tally a day for each page, by type of device and the site the visit came from, and a count of taps on our phone numbers. We do not set a cookie for this, and we do not keep your IP address or anything else that identifies you. Your browser keeps a note of where the visit came from until you close the tab, so the pages of one visit count once.
Google Ads
We advertise on Google, and our pages load the Google Ads tag so we can tell whether an ad led to a quote request or a call. Google may use cookies to do this, and handles that information under its own privacy policy, which explains how Google uses information from sites that use its services. You can turn off ad personalisation in your Google account settings.
Local businesses
For our commercial work, we also keep the publicly listed contact details of local businesses we would like to offer our services to.
How we use it
- To answer your enquiry, quote and book the work.
- To do the job, and to send you booking confirmations, reminders, our pre-treatment advice and a report on what we did.
- To invoice you and keep track of payments.
- To honour our warranties and let you know when a service is due.
- To answer your calls, texts, emails and Facebook comments.
- To keep the records that tax and pest management laws require.
- To see which pages and ads bring us enquiries, so we spend our advertising sensibly.
Now and then we may send you a reminder or an offer by text or email. If you would rather not get them, tell us and we will stop.
Who we share it with
We do not sell your personal information, and we do not give it to anyone for their own marketing. We share it only with the people and services that help us run the business, and only what they need:
- whoever booked the job, such as your property manager, landlord or body corporate, who gets the job report and the invoice;
- Xero, our accounting software, for quotes, invoices and payments;
- our text message and phone providers, to send booking messages and to make and take calls;
- our email provider, and Web3Forms, which emails quote requests from this website to us;
- the companies that host this website and our office system and its database;
- Google, whose maps we use to check addresses and plan the day’s travel, and whose ads tag measures our ads (see above);
- AI services from Anthropic and OpenAI, which we use to check the tone of a reply before we send it and to turn our technicians’ voice notes into text;
- government agencies or regulators, when the law requires it.
Some of these providers store information outside Australia, for example in the United States.
Our Facebook Page
We run a Facebook Page for Razor Pest Control. Our office system connects to Facebook to publish posts on our own Page and to read the comments people leave on those posts, so we can reply to them from the office.
- When you comment on one of our posts, our system keeps a copy of the name Facebook shows with your comment, what you wrote and when, and lets our office know so someone can reply.
- It collects nothing else from your Facebook profile: not your friends, photos, email address, location or messages, and it does not look at anything outside the posts on our own Page.
- We do not offer “Log in with Facebook”, so there is no account with us to close.
- We do not use your comments for advertising, and we do not sell them or pass them on.
What Facebook itself does with your information is covered by Meta’s own privacy policy.
How long we keep it
We keep customer and job records while you are a customer and for some years after, because tax law generally requires us to keep business records for five years, and Queensland pest management rules require us to keep records of treatments. Enquiries, messages and Facebook comments are kept in our office system with the rest of our records. When we no longer need information and the law does not require us to keep it, we delete it or remove the details that identify you. You can ask us to delete it sooner (see below).
Keeping it safe
Your information is kept in our office system, which only our own team can get into, each person with their own sign-in. It travels over encrypted connections and is stored with established cloud providers. If a data breach ever put your information at risk of serious harm, we would tell you.
Seeing or correcting your information
You can ask us what information we hold about you, and ask us to fix anything that is wrong or out of date. Call, email or write to us using the details above, and we will answer within 30 days.
Deleting your data
You can ask us to delete the personal information we hold about you at any time. To ask:
- email admin@razorpestcontrol.com.au with the subject “Delete my data”;
- call 0468 200 808; or
- write to Razor Pest Control, 47 Drummond St, Rangeville QLD 4350.
Tell us your name and the phone number or email address we would know you by, and whether you want everything deleted or just one thing, such as a Facebook comment. We may check it is really you before we delete anything.
We will delete your information from our office system within 30 days and let you know when it is done. Copies held by the services we use, such as our accounting and text message providers, are removed or archived where those services allow it. The only thing we keep is what the law makes us keep, such as invoices for tax and records of treatments, and we keep those only for as long as required and use them for nothing else.
Facebook comments
You can delete your own comment on one of our posts at any time on Facebook: open the menu beside the comment (the three dots, or press and hold it in the app) and choose Delete. Deleting it on Facebook does not remove the copy in our office system, so if you want that gone too, ask us in any of the ways above and we will delete it.
Questions or complaints
If you have a question or a concern about how we have handled your information, contact us first and we will do our best to put it right. If you are not satisfied with our answer, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
If we change this policy, we will update this page and the date at the top.
